Plymouth Art Weekender Festival Coordinator role

Visual Arts Plymouth CIC (VAP) is a volunteer-led organisation that represents independent artists, communities and key art organisations in Plymouth. The group of 15 VAP activators bring a huge amount of knowledge, experience and ideas together to raise the profile and promote the diverse range of arts activity happening in Plymouth.

VAP have successfully delivered four Plymouth Art Weekenders and have secured funding to run two more events in 2019 (27-29th September) and 2020 (dates TBC) including an annual budget of for five public art commissions for the festival, plus Plymouth Platform mentoring programme and seed-funding for four projects.
VAP CIC are seeking an experienced producer to deliver the next two Plymouth Art Weekenders (2019 & ’20), including the public art commissions, and on securing the festival’s future after 2020.
Plymouth Art Weekender (PAW) will be part of ambitious cultural programme in the lead up to Mayflower 400 and the opening of the £34 million History Centre in 2020, as well as building on the success of events to date. The 2017-18 events were funded under the Arts Council England’s Horizon programme, an ambitious, collaborative visual arts project, in which Visual Arts Plymouth delivered over half of the cultural programme, through Plymouth Art Weekender (PAW) and public art commissions, as well as facilitating significant community engagement and delivering the skills and talent development programme (through workshops and our mentoring programme, Plymouth Platform) for artists and producers. PAW is a 3 day event celebrating the visual arts and culture across the city, with the aim to:
- increase cultural visitor numbers to Plymouth, by promoting the city as a contemporary art hotspot where the visual arts are intertwined into the city and its diverse communities
- enhance and nurture talent development for local and regional artists and creative practitioners,
- engage both cultural and non-cultural audiences, through citywide visual arts and public art programming, by working with a diverse range of individuals, venues and spaces, communities and cultural organisations across the city and especially in areas with high-levels of deprivation and low-levels of engagement with the arts
- Strengthen relationships between cultural organisations, artists and communities, across the city
- Create an annual event, that is a fixture in the cultural calendar of the city and enjoyed equally by residents and visitors to Plymouth
As Plymouth Art Weekender (PAW) coordinator, you will manage a dedicated Festival Assistant, Marketing Officer, Administrator & Community Engagement Producer, as well as oversee the work of Event Assistants and Volunteers who will work over the Weekender itself. You will work closely with the VAP board of directors, VAP activators within the PAW working group, the VAP finance working group and the VAP marketing and outreach groups to facilitate the delivery and evaluation of both events as well as enhancing the capacity of the visual arts sector and audiences across the city. You will also work with VAP Activators on securing the future of PAW, by increase VAP’s capacity for attracting sponsorship for the event and by fundraising to continue your role beyond 2020.
You will need to be flexible and adaptable, in terms of your approach to working, and be comfortable with lone and home working. You will also need to be able to attend frequent meetings in Plymouth (at least monthly).
Please note, that this is an 18 month role and there will be periods of intensity in terms of activity, especially in the lead up to PAW19. Given the short lead in time we will prefer candidates who can start as soon as possible. We are happy to consider job sharing.

Plymouth Art Weekender is supported by Arts Council England, The Box, Nudge Community Builders CIC, Theatre Royal Plymouth, Plymouth College of Art, Plymouth University, Plymouth Marjon University, Take A Part, KARST, Plymouth Culture, Ocean Studios & RIO, Plymouth Athenaeum, Plymouth School of Creative Arts, Duke of Cornwall Hotel and Contemporary Art Membership Plymouth CIC.
- To build on the success and evaluation of Plymouth Art Weekender 2017 and 2018, and manage the delivery of Plymouth Art Weekender 2019 and 2020.
- To deliver two Idea days for artists wanting to take part in PAW, in conjunction with VAP
- In conjunction with the VAP Directors and Activator sub-groups, build on the project plan and framework for delivering PAW in 2019-20 and beyond
- To monitor progress of the project plan and to ensure all milestones are met
- Deliver, in coordination with VAP, five public art commission over the two PAW events
- To project manage the PAW public art commissions in agreement with Visual Arts Plymouth Activators and in partnership with collaborating organisations, Plymouth City Council’s Public Art Officer and the Plymouth Culture Board Director.
- Project manage the delivery of Plymouth Platform, in 2020, VAPs mentoring programme.
- Oversee a number of SOUP events, to provide seed funding to four PAW projects
- Deliver Plymouth Art Weekender on budget and on time.
- Broker new, and strengthen existing, partnerships enabling and enhancing the delivery of the project.
- Represent and advocate for Visual Arts Plymouth and its policies to other organisations as required, including funding bodies and press.
- Coordinate all aspects of the Plymouth Art Weekender event to ensure the expectations of all stakeholders are met and if possible exceeded.
- Enthuse, engage and support partners and stakeholders contributing to the project.
- Promote the ‘Plymouth Art Weekender event locally, regionally and nationally in partnership with collaborating organisations.
- To ensure effective communication channels in place with all key partners and stakeholders.
- Establish, support and promote volunteering for Plymouth Art Weekender and ensure volunteers have a fulfilling time.
- Undertake other tasks and responsibilities as requested by the Steering Group.
- Produce a detailed project delivery plan and monitor progress to ensure all milestones are met
- Line manage all related roles
- Organisation of any related events, e.g. project launch, workshop etc.
- Work with VAP activators and partner organisations on project development and delivery, to capitalise on expertise and resource within VAP and to enable skill development and capacity within the group
- Advise VAP on the need to take action to address issues related to the scheduling, staff and financial resources to ensure smooth project implementation
- Attend and present progress reports to the monthly PAW meetings
- Manage the PAW budget and provide regular financial reports; this will involve working closely with VAP’s finance group
- Ensure PAW is meeting all the funder requirements and regulations
- Co-ordinate the drafting of narrative and financial reports to funders
- Working with partner HE and FE organisations in the city on including undergraduates in the project and encouraging graduate retention within the city
- Identify and secure sponsorship and future funding opportunities for PAW and coordinator’s role beyond 2020
- Devise, in conjunction with VAP marketing group and the PAW marketing officer, an effective marketing and communication strategy for PAW and take lead responsibility for ensuring that this strategy is effectively delivered
- Promote PAW and VAP, locally and nationally, by active and positive internal and external communication including website development, co-ordinating social media and supporting Press and PR opportunities.
|Educated to degree level or equivalent.||Experience of managing art projects in the public realm|
|Minimum 5 years relevant arts experience.||Understanding of the Operational Methods of Arts Organisations.|
|Experience of managing a wide range of visual arts projects; including development, realisation, implementation, evaluation, budgetary control and installation.||Driving License|
